Creating A Safe, Open & Inclusive Place To Learn

At Kids & Youth in Motion, it is our goal to ensure a safe, open, and inclusive environment for both our students and staff. To do this we regularly evaluate our policies and make changes to our studio, based on experience, expert advice, and community best practices.

This is a transparent, living document, the Policies outlined below are subject to change.

Discounts & Supplementary Fees

  • Receive $20 off each additional sibling

  • Receive $20 off each additional class. Multi-class discounts are calculated per dancer, not family.

  • For R.A.D. Ballet Classes a $15 Assessment Fee will be added at the time of registration.

  • For the Winter Season, a $25 Recital Fee per class will be added at the time of registration (excluding Babies in Motion & Tots in Motion classes). Year End Recital tickets are free and limitless.

Refund & Withdrawal Policies

  • > Withdrawals must be done online through your parent portal or by email to info@kidsinmotiondance.com. Date of withdrawal is based on when the email was sent or notification received. Withdrawals can take up to a week to process. Refunds take 5-10 days from the process date to be deposited back to your bank account.

    > Class/Camp/Workshop/Single Class Deposits are all $20+GST/class. Deposits are non-refundable, but are transferable to another class or camp within the SAME season.

    > In the case of a studio closure or class cancellations due to teacher illness, pandemics, extreme weather or other unforeseen circumstances, classes are non-refundable/non-creditable and will be rescheduled for in-person lessons at an alternative time or live online zoom lessons, depending on the specific circumstances of the closure/cancellation and teacher availability. If K.Y.M. is unable to reschedule or provide online lessons, will we issue a refund.

    > Missed classes by the student are non-refundable, non-transferable and non-creditable, this includes rescheduled lessons or live-online lessons.

    > Make-up lessons are NOT guaranteed. To inquire about a make-up lesson, please email us and we can let you know if it’s possible or not for your dancer.

    𝙎𝙚𝙖𝙨𝙤𝙣𝙖𝙡 𝘾𝙡𝙖𝙨𝙨𝙚𝙨

    > Class Deposits ($20+GST/class) are non-refundable and non-creditable.

    > If notice is given one week or more prior to your first class, the deposit is retained by K.Y.M. and the remainder of tuition will be refunded.

    > If notice is given less than a week prior to your first class, the first lesson's tuition and the deposit will be retained by K.Y.M. and the remainder of tuition will be refunded.

    > If notice is given during the 2-class trial period, the lessons attended, lessons set to take place within 24hrs and the deposit will be retained by K.Y.M. and the remainder of tuition will be refunded.

    > If notice is given after the second week of lessons, tuition is non-refundable, but your account will be credited for the remaining classes in the season less the non-refundable deposits ($20+GST/class). This credit never expires and can be used for any family member or friend and put towards any season, workshop or camp offered at K.Y.M. as long as space is available in the desired class.

    𝗕𝗨𝗜𝗟𝗧 𝗜𝗡 𝗧𝗥𝗜𝗔𝗟 𝗣𝗘𝗥𝗜𝗢𝗗 (Seasonal Classes Only)

    We provide a 2-class trial period at the beginning of each season, to ensure that our studio, teachers and class is the right fit for your family. During this time, refunds will be provided less deposits and classes that are set to take place within 24hrs. If you wish to withdraw after the 2-class trial period, notice must be given within 24 hours of your second class in order to receive the partial refund, otherwise a credit will be provided instead.

    𝗖𝗮𝗺𝗽𝘀, 𝗪𝗼𝗿𝗸𝘀𝗵𝗼𝗽𝘀 & 𝗦𝗶𝗻𝗴𝗹𝗲 𝗖𝗹𝗮𝘀𝘀𝗲𝘀

    > Camp/Workshop/Single Class Deposits ($20+GST) are non-refundable and non-creditable.

    > If notice is given one week or more prior to the start date, K.Y.M retains the deposit and the remaining tuition will be refunded.

    > If notice is given less than a week prior to the start date, but more than 24hrs, K.Y.M. retains the deposit plus 25% of the total tuition.

    > If notice is given 24 hours or less, the camp/workshop/single class is non-refundable and non-creditable

    𝗠𝗼𝘁𝗶𝗼𝗻 𝗬𝗼𝘂𝘁𝗵 𝗗𝗮𝗻𝗰𝗲 𝗖𝗼𝗺𝗽𝗮𝗻𝘆 (𝗠𝗗𝗖) & 𝗙𝘂𝗹𝗹 𝗬𝗲𝗮𝗿 𝗣𝗿𝗼𝗴𝗿𝗮𝗺𝘀

    If dancers wish to withdraw from the program, it must be done by the 14th of the month and the month that we receive the notice must be paid in full. The remaining months will be refunded or installments canceled. The Registration Fee may or may not be refundable based on what has already been allocated, purchased or booked. Parents are responsible for covering all outstanding charges at the time of withdrawal.

  • > Missed classes by the student are non-refundable, non-transferable and non-creditable, this includes rescheduled lessons or live-online lessons.

    > Make-up lessons are NOT guaranteed. To inquire about a make-up lesson, please email us and we can let you know if it’s possible for your dancer.

Registration Waivers

  • We feel it necessary to inform parents/legal guardians that at Kids & Youth In Motion (K.Y.M.), we teach dance to infants and children with compromised immune systems. Vulnerable populations such as these require their peers to be vaccinated according to the B.C. Immunization Schedule (https://www.healthlinkbc.ca/tools-videos/bc-immunization-schedules) to prevent them from contracting a vaccine-preventable, serious and sometimes life-threatening diseases.

    By accepting this waiver, you (the legal parent/guardian of the dancer(s) on your profile) understand and acknowledge the below statement:

    "Children who do not have or are not up to date on their vaccinations are at risk of contracting vaccine-preventable, serious and sometimes life-threatening diseases AND children who do not have or are not up to date on their vaccinations put vulnerable populations at risk of catching vaccine-preventable, serious and sometimes life-threatening diseases."

    If you are unsure of your child(ren)'s immunization status, contact your local public health unit or doctor. Let's keep all of our dancers safe and healthy.

  • I (legal parent/guardian) of student(s) on my account, realize that participation in dance classes and performances, both online and in-studio could involve some possible personal injury or illness. Despite precautions, accidents, injuries or illness may occur. By signing this waiver, I (the participant and parent/guardian) assume all risks related to the use of any and all spaces used by Motion & Music Performing Arts Inc. DBA Kids & Youth In Motion. I/we agree to release and hold harmless Motion & Music Performing Arts Inc. DBA Kids & Youth In Motion including its teachers, dancers, staff members, and facilities used by both entities from any cause of action, claims, or demands now and in the future. I/we will not hold Motion & Music Performing Arts Inc. DBA Kids & Youth In Motion liable for any personal injury or illness or any personal property damage or theft, which may occur on the premises before, during or after classes.

    Furthermore, I/we agree to obey the class and facility rules and take full responsibility for my/our behaviour in addition to any damage I/we may cause to the facilities utilized by Motion & Music Performing Arts Inc. DBA Kids & Youth In Motion. I/we understand that Motion & Music Performing Arts Inc. DBA Kids & Youth In Motion is a licensed, accredited and insured organization. In the event that I/we should observe any unsafe conduct or conditions before, during or after classes, I/we agree to report the unsafe conduct or conditions to the Creative Director, Jessica Hanson or a faculty member, as soon as possible.

    Online Waiver: I (legal parent/guardian) agree to obey the class rules and guidelines for safe dance practices including, but not limited to, creating a safe dance space, wearing appropriate attire and not taking lessons above the lesson takers level. I (legal parent/guardian) take full responsibility for my/our behaviour and choices made while taking online dance lessons.

  • Students May Not Attend Class if They are Sick

    I, the legal parent/guardian of the dancers on my account, will not send my dancer(s) to class if they are showing new symptoms of illness. If your dancer has lingering symptoms (meaning over 7 days old) they are OK to attend class. We reserve the right to send any dancer home who we feel should not be at class due to illness.

    Please call 8-1-1 if you have any concerns about your dancer's health and to get advice on whether or not they can attend school, daycare, activities etc. You may also call Mrs. Jessica at 778-554-1146 if you have any further questions.

  • By registering at Kids & Youth In Motion, you, the legal parent/guardian of the student(s) on your account are made aware that Kids & Youth In Motion reserves the right to photograph and film students for advertising and publicity purposes, including but not limited to our social media outlets including Facebook, Instagram and Twitter, our website, and any printed advertising such as brochures, posters and newspaper articles, as well as teacher education resources including, but not limited to, instructional videos for the purposes of training new staff or teaching the dancers. Students’ names and private information will never be used without permission by parents.

    If you wish to Opt-Out, please agree to this waiver and then go to More - Waivers & Policies - select the "Photo Opt-Out" option on your parent portal. Once you have checked the "Photo Opt-Out" box on your account, it will be noted on your dancer's attendance sheet and file.

    You also are made aware that Kids & Youth In Motion allows parents to take photos and videos during, but not limited to, parent watch days and recitals.

  • Correspondence by Kids & Youth In Motion (K.Y.M.) is done by email. By registering for a class with us, you are giving implied consent to send you emails that have relevant and important information regarding your dancer's classes including, but not limited to, season date reminders, recital information, newsletters, class cancellations, season or class date changes and substitute teacher information. Kids & Youth In Motion and our faculty are not responsible for missed information sent by email.

    Please always check your spam, promotion, update and any other email provider folders periodically as studio-wide emails may end up being filtered.

Care of Students

Rules for Picking Up & Dropping Off Your Child
The studio is not responsible for providing before or aftercare for students. The doors to each studio room are locked prior to a teacher’s shift beginning and will be opened 5min before class starts.

Children ten and under must wait for their parents to pick them up inside the studio. Students are not to be left at the school for excessive time periods before or after their lessons. Kids & Youth in Motion assumes no responsibility for children who leave unaccompanied.
